Graceway Sports Centre –Refund & Cancellation Policy
At Graceway Sports Centre, we are dedicated to providing premier facilities, programming, and service to our community. In order to maintain scheduling fairness, ensure proper court and equipment availability, and cover operational costs, all purchases, fees, and payments are strictly non-refundable, except where explicitly stated in this policy.
Memberships & Day Passes
Non-Refundable Dues: All membership fees (monthly, quarterly, annual, corporate, or promotional packages, adult and junior) and day/visitor passes are strictly non-refundable once purchased.
Management may decide to grant a partial refund on a case-to-case basis, if the use of the membership is made impossible after the first visit and for reasonable reasons (accidents, sudden illness, mandatory and immediate travelling schedule).
Partial Periods & Unused Time: Refunds or prorated fees will not be issued for unused membership time, lack of facility usage, or early voluntary termination. Credits may be given after careful consideration for unused membership time, if that occurred for the reasonable reasons stated above.
Membership Freezes/Suspensions: Members can ‘freeze’ their membership for a minimum period of 14 consecutive days, maximum twice per year. The membership must be active and paid in full. The membership suspension can be requested for reasons such as vacation, travelling, medical conditions or mandatory overseas relocations. Corporate members are not entitled to this option.
Court Bookings, Group Fitness & Private Coaching
Court Reservations (Tennis, Padel, Squash, Pickleball, Badminton): All court bookings must be paid in full at the time of arrival and are non-refundable. Cancellations must be made with at least 24 hours of notice.
Personal Training: Sessions are non-refundable. Any cancellation or rescheduling request requires a minimum of 24-hour notice directly to the designated coach. Late cancellations or missed sessions will be charged at the full rate.
Group Fitness Classes: Class drop-ins and class card packages are non-refundable and non-transferable.
Facility Rentals & Special Events
Security & Booking Deposits and Final Payments: All deposits and fees paid to reserve event spaces, courts, or studios are strictly non-refundable, unless the events must be cancelled due to the facility unavailability.
Management Discretion & Weather Exceptions
Adverse Weather: For outdoor court reservations affected by severe weather or rain, management will issue a court credit valid for rebooking within 30 days. No monetary refunds will be issued.
Facility Maintenance or Closures: If Graceway Sports Centre must cancel a session, class, or booking due to unforeseen maintenance, safety closures, or emergency events, affected patrons will be offered a rescheduled session or equivalent credit.
Exceptions: Any exception to this policy must be reviewed and approved in writing by Graceway Sports Centre Management.
Management reserves the unilateral right to revoke facility access and terminate membership immediately, without refund, for failure to comply with facility standards. Grounds for immediate termination include, but are not limited to:
Abusive behavior: Engaging in threatening, disrespectful, or disorderly conduct toward staff, guests, or other members.
Harassment & misconduct: Engaging in harassment, sexual misconduct, or inappropriate behavior of any kind.
Dress code violations: Disregarding the facility dress code, including the unauthorized removal of clothing or failure to wear proper and clean athletic apparel.
Improper footwear: Entering the premises with muddy, soiled, or improper footwear that compromises hygiene or damages flooring/equipment.
Facility damage: Causing intentional or negligent damage to any facility machinery, equipment, or property.
Non-compliance: Refusing to follow instructions or safety requests from facility staff.
